Staff Reviews tool designed to help reviewers and mentors effectively manage staff reviews.

  • Work on current reviews to set goals, evaluate achievements, and provide feedback.

  • Access and view archived reviews for reference or historical context.

Access staff reviews
  1. Navigate to My EMS.

  2. Go to Manage My Staff Reviews.

  3. Select the Staff Reviews section to begin managing reviews.

Stages of a staff review

A staff review typically follows a structured process to ensure thorough evaluation, feedback, and goal-setting.

1. Stage One: Goals

Establish clear, measurable goals for the reviewee to achieve during the review period.

  • The reviewee proposes goals for each review criterion.

  • The reviewer and reviewee discuss and agree on the final goals.

  • Goals are documented and saved for reference.

2. Stage Two: Achievements

Evaluate the reviewee’s progress toward the agreed-upon goals.

  • The reviewee provides evidence of their achievements, such as completed tasks, metrics, or supporting files.

  • The reviewer assesses the achievements and provides feedback.

3. Stage Three: Feedback and completion

Summarise the review, provide final feedback, and mark the review as complete.

  • The reviewer provides overall comments and recommendations.

  • The review is marked as complete, locking it from further edits.

Responsibilities of the different user roles in a staff review

Reviewee

  • Propose and document goals for each review criterion.

  • Provide evidence of achievements, such as completed tasks, metrics, or supporting files.

  • Collaborate with the reviewer to ensure goals are realistic and achievable.

  • Respond to feedback and use it to guide future performance.

Reviewer

  • Collaborate with the reviewee to agree on goals and expectations.

  • Evaluate the reviewee’s achievements and provide constructive feedback.

  • Mark the review as complete once all stages are finalised.

Mentor

Mentors play a supportive and developmental role in the staff review process. Their primary responsibility is to provide guidance, feedback, and encouragement to the reviewee, helping them achieve their goals and grow professionally.

  1. Add mentor comments:

    • Mentors can provide comments for each review criterion, offering insights, suggestions, or additional perspectives on the reviewee’s goals and achievements.

    • These comments are separate from the reviewer’s feedback and focus on developmental guidance rather than evaluation.

  2. Support goal setting:

    • Mentors can collaborate with the reviewee during Stage 1: Goals to ensure the goals are realistic, meaningful, and aligned with the reviewee’s career aspirations.

  3. Encourage progress:

    • During Stage 2: Achievements, mentors can review the reviewee’s progress, celebrate successes, and offer advice on overcoming challenges.

  4. Provide ongoing support:

    • Mentors are encouraged to maintain regular communication with the reviewee, offering support and guidance beyond the formal review process.

Filter and search for a staff review using the toolbar
  1. Use the filter options in the top toolbar to set your desired criteria.

    • Select review period: Select from the menu options.

    • Select staff member: Select from the menu options.

  2. Click Search to apply the filters and display the results.

Staff review layout

Staff reviews typically involve multiple Review Criteria that require responses. Each criterion is displayed as a self-contained, collapsible panel with the following components:

  • Description: A clear explanation of the criterion.

  • Responses: A dedicated space for users to provide input or feedback.

  • Support files: List of files added as evidence and support for each criterion.

Key features:

  1. Save button: Context-aware, appearing only where information can be entered or modified.

  2. Criteria rating: Enables reviewers to assign a rating to the reviewee’s goals and achievements. This feature is optional and must be enabled to be used.

Visual cues
  • Grey background: Indicates a disabled field where you cannot enter information.

  • Blue text: Indicates read-only text that you cannot change.

  • Number in brackets (#): In a section title, this shows the number of items added (e.g., files, comments).

  • Icons in section title: Represents the current stage of the review cycle.

  • Complete but not all standards met

Send an email to your reviewee(s)
  1. Click the Email button.

  2. Select the recipient from the dropdown menu:

    • Current reviewee: Send the email to the individual reviewee.

    • All reviewees: Send the email to all reviewees associated with the selected pathway review.

  3. Enter the email details, including the subject and message.

  4. Click Send Email to deliver the message.

Download a staff review as PDF
  1. Click Download.

  2. Select Review from the dropdown menu.

  3. Locate the downloaded file (usually in your "Downloads" folder).

  4. Open the PDF in your default PDF viewer (e.g., Adobe Acrobat, Preview, or a web browser).

  5. Print if needed.

  1. Click Download.

  2. Select Reviewer Feedback from the dropdown menu.

  3. Locate the downloaded file (usually in your "Downloads" folder).

  4. Open the PDF in your default PDF viewer (e.g., Adobe Acrobat, Preview, or a web browser).

  5. Print if needed.

View reviewee's overall review comments

The Staff Comments button will only be enabled if the reviewee has added their comments.

  1. Click the Staff Comments button.

  2. The comments will be displayed in a new window for you to read.

  1. Click the Review Comments button: This will open the comments section.

  2. Enter your comments: Provide feedback for each relevant section, including Summary and Recommendations.

  3. Click Save to store your comments.

Manage review files

Both the reviewee and reviewer can upload review files to a review.

Rules for review files for staff reviews

  • You can upload any number of files to support a review.

  • Any file type is allowed, with a maximum file size of 20MB.

  • Files cannot be removed once the review is completed.

Add a review file to a staff review
  1. Click the Review Files button to open the file management window.

  2. Click the Add File button.

  3. Click Browse and select the file you want to upload.

  4. Click Upload.

  5. The uploaded file will appear in the list within the Review Files section.

Remove a review file from a staff review

Note: Files cannot be removed once the review is completed.

  1. Click the Review Files button to open the file management window.

  2. Locate the file you want to remove.

  3. Click the Remove icon (e.g., trash bin) next to the file name.

  4. Confirm the action to remove the file.

Download a review file from a staff review
  1. Click the Review Files button to open the file management window.

  2. Click the File Name link to download the file.

  3. Locate the downloaded file (usually in your Downloads folder).

  4. Open the file to view its contents.

  5. Print the file if needed.

Stage one - Goals

In Stage One, the reviewee adds their goals for each review criterion. As a reviewer, you can edit and collaborate on these goals by following these steps:

Establish goals for a staff review

1. Discuss and agree on goals

  • Collaborate with your reviewee to discuss and agree upon the goals for each review criterion.

2. Enable editing access

  • Ask the reviewee to check the Open for Editing box in their review toolbar. This will enable the Goals section for you to edit or add goal details.

3. Edit or add goals

  • Click the Goals section to make it active.

  • Enter or update goal details for each review criterion.

  • Click the Save Goals button for each criterion to save your changes.

4. Collaborate in real-time (If needed)

  • If you and your reviewee are working simultaneously, use the Refresh button to reload the fields and view each other’s changes.


Stage two - Achievements

Move a staff review to stage two

Once you, as the reviewer, are satisfied with the goals that have been set, you can move the review to Stage Two: Achievements.

1. Initiate stage change

  • Click the arrow on the Change Stage toolbar button.

2. Select the new stage

  • From the drop-down menu, select Stage Two: Achievements.

3. Confirm the change

  • A confirmation message will appear.

  • Click the Yes button to proceed.

4. Completion

  • The selected review will now be moved to Stage Two: Achievements.

View review responses and supporting files for a criterion

As a reviewer, you can view the reviewee’s achievements and any supporting files they have uploaded for each review criterion.

1. View achievements

  • Navigate to the Achievements section in the responses panel.

  • Review the details added by the reviewee for each review criterion.

2. View and download criterion-specific supporting files

If the reviewee has uploaded criterion-specific files, they will appear in the Supporting Files list.

  1. Click the Files section to make it active.

  2. Click on the File Name text link for the file you want to view.

  3. The file will download to your device (usually in your Downloads folder).

  4. Locate the downloaded file and open it using your default PDF viewer (e.g., Adobe Acrobat, Preview, or a web browser).

  5. Print the file if needed.

Add reviewer comments to a criterion

To add your comments to a specific criterion in a staff review:

  1. Navigate to the Reviewer comments section section in the responses panel.

  2. Enter your comments

    • Add your feedback or comments in the provided field for the relevant criterion.

  3. Click the Save button.

Use the Review Comments toolbar button to provide overall feedback for the entire review.

Complete a staff review

As a reviewer, you can mark the review as complete after considering the reviewee’s achievements and supporting files for each criterion.

1. Initiate completion

  • Click the arrow on the Change Stage toolbar button.

2. Select completion status

  • From the drop-down menu, select the appropriate completion status (e.g., Complete).

3. Confirm the action

  • A confirmation message will appear.

  • Click the Yes button to proceed.

4. Review locked

  • The selected review will be marked as complete.

  • The review is now locked, and no further changes can be made.
