Accreditations
Use this module to manage staff accreditations and generate reports.
Manage staff accreditations section
This section is open by default.
Accreditations can be maintained by:
Staff members themselves.
School EMS360 System Administrators.
Accreditation managers.
Access accreditations for a staff member
Select a staff member from the list.
Use the column headers to enter the staff member’s first name or last name to refine the results.
A list of all accreditations for the selected staff member will appear on the right side of the screen.
Manage accreditation search results
The grid displays your filtered results with action columns for managing individual items. Each action column contains icons that allow you to perform specific tasks.
Icon button states in the action columns
Icons change to indicate status.
Outline icon: Indicates no content has been added.
Filled icon: Indicates content has been added or the action is complete.
Hide expired accreditations for a staff member
Check the Hide Expired checkbox to display only current accreditations.
Add an accreditation for a staff member
Select a staff member from the list.
Click the Add Accreditation button.
Enter the required details:
Select the accreditation name from the dropdown menu.
Enter the Accredited Date.
Enter the Accreditation Number (optional).
Click Save to complete the process.
The expiry date is automatically calculated.
Once saved, the new accreditation will appear in the staff member’s accreditation list.
Add a non pre-defined accreditation for a staff member
To add non pre-defined accreditations, please contact Education Management Solutions directly.
Export a spreadsheet of a staff member's accreditation details
Click Export.
Locate the downloaded file (usually in your "Downloads" folder).
Open the file using a spreadsheet application (e.g., Microsoft Excel).
Print if needed.
Note: All accreditation records, including expired ones, are included in the export.

Verified
Not Verified
Status indicators for medical accreditations
Certain accreditations are designated as Medical Accreditations.
The Medical Accreditation Status is pre-defined and added automatically.
Indicators for the applicable region of an accreditation
To help you quickly identify where an accreditation is valid, the applicable Australian state is displayed in brackets after the accreditation name. For example:
[ALL]: Indicates the accreditation is valid across all Australian states and territories.
[NSW]: Indicates the accreditation is valid in New South Wales.
[VIC]: Indicates the accreditation is valid in Victoria.
Mark an accreditation as verified
Click the Verify icon button.
Confirm the verification.
This action will lock the accreditation, and no further changes will be possible.
Note: Only system administrators and accreditation managers can mark accreditations as Verified. Once verified, staff members can upload a supporting file.
Add a file to a staff member's accreditation
Only one file can be uploaded to support an accreditation.
Any types of files can be uploaded, with a maximum file size of 20MB.
Click Add file icon button.
Click Browse to select a file.
Click Upload File.
The icon will change to a download icon, and a remove file icon will appear.
Replace a file for a staff member's accreditation
Remove the existing file.
Add a new file.
Download a file from a staff member's accreditation
Click the Download File icon button.
Locate the downloaded file (usually in your "Downloads" folder).
Open the PDF in your default PDF viewer (e.g., Adobe Acrobat, Preview, or a web browser).
Print if needed.
Remove a file from a staff member's accreditation
Files can only be removed from accreditations that have not been verified.
Click the Remove File icon button.
Confirm the removal.
Delete a staff member's accreditation
If an accreditation has been verified, it cannot be removed.
If a file is attached to the accreditation, you cannot delete it. Remove the file before deleting the accreditation.
Click the Delete icon button.
Confirm the deletion.
Accreditation reports section
Filter staff accreditations to create custom reports.
Filter and search staff accreditations
Use the filter options in the top toolbar to set your desired criteria:
Accreditation: Select from the dropdown menu.
Status of Accreditation: Select from the dropdown menu.
Show: Select the expiry status from the dropdown menu to refine the search.
Verified: Select from the dropdown menu to refine the search.
Click Search to apply the filters and display the results.
Export a spreadsheet report of staff accreditations
Click Export.
Locate the downloaded file (usually in your "Downloads" folder).
Open the file using a spreadsheet application (e.g., Microsoft Excel).
Print if needed.
Import an accreditation for multiple staff members
You can use a spreadsheet listing staff email addresses to add accreditations in bulk.
Click Import.
The Import Staff Accreditation window will open.
Browse your computer files and select a spreadsheet containing staff email addresses in the first column.
Ensure the email addresses exactly match those used in EMS.
Select the accreditation name from the dropdown menu.
Enter the Accredited Date.
Use the checkbox to set all records as verified, if required.
Click the Import button to complete the process.

Download a file from a staff member's accreditation
Only available when a file has been added.
Click the Download File icon button.
Locate the downloaded file (usually in your "Downloads" folder).
Open the PDF in your default PDF viewer (e.g., Adobe Acrobat, Preview, or a web browser).
Print if needed.
Mark an accreditation as verified
Click the Verify icon button.
Confirm the verification.
This action will lock the accreditation, and no further changes will be possible.
Note: Only system administrators and accreditation managers can mark accreditations as Verified. Once verified, staff members can upload a supporting file.
