Staff Pathway reviews

Pathway Reviews are utilised by some NSW schools to support staff development and performance management.

The Staff Pathway Reviews section enables Reviewers and Mentors to efficiently manage staff Pathway reviews.

  • Work on current reviews:
    Track progress, provide feedback, and support staff development throughout active review cycles.

  • Access archived reviews:
    View historical reviews for reference, analysis, or reporting purposes.

Access staff Pathway reviews
  1. Navigate to My EMS.

  2. Go to Manage My Pathway Reviews.

  3. Select the Staff Pathway Reviews section to begin managing reviews.

Pathway review cycle overview

The Pathway Review Cycle is a collaborative process that ensures continuous professional development. Each section is designed to guide the reviewee through goal setting, progress tracking, and reflection, with input from reviewers and mentors to ensure accountability and growth. By clearly defining roles and responsibilities, the process becomes more structured and effective in achieving professional objectives.

Status indicators of the stage of the Pathway review
  • Start-Cycle (Stage one)

  • Mid-Cycle (Stage two)

  • End-Cycle completed

It involves multiple stages, each with specific tasks and responsibilities for the Reviewee, Reviewer, and Mentor (when available). Below is a breakdown of each section and the roles involved:

1. Pathway overview

This section sets the foundation for the review cycle by maintaining essential staff details and initiating the process.

  • Reviewee responsibilities:

    • Maintain and update staff details.

  • Reviewer responsibilities:

    • Provide Initial Reviewer Comments to guide the process.

    • Enter the Date Plan Started to move the review to Stage Two.

    • Enter the Placement End date to mark the review cycle as complete.

    • Select whether the Increment Approved status is granted.

  • Mentor involvement: Not applicable in this section.

2. Pathway plan

This section focuses on setting professional goals, strategies, and measures for achieving them.

  • Reviewee responsibilities:

    • Define Goals.

    • Provide Evidence to support goal achievement.

    • Outline Strategies and Timeframes for achieving goals.

    • Specify Measures and Evidence to track progress.

  • Reviewer responsibilities:

    • Provide Reviewer Feedback on the goals, strategies, and evidence.

  • Mentor responsibilities (when enabled):

    • Provide Mentor Feedback to guide the reviewee’s development.

3. Mid-Cycle review (Optional)

This optional section allows for a mid-cycle check-in to assess progress, address challenges, and adjust plans as needed.

  • Reviewee responsibilities:

    • Reflect on Goals and identify any Barriers.

    • Discuss Challenges and Areas for Development.

    • Provide Evidence of Achievements.

    • Outline Where To Next for the remainder of the cycle.

  • Reviewer responsibilities:

    • Provide Reviewer Feedback on progress and challenges.

  • Mentor responsibilities (when enabled):

    • Provide Mentor Feedback to support the reviewee’s development.

4. Annual professional discussion

This section involves a formal discussion to evaluate performance, professional responsibilities, and career development.

  • Reviewee responsibilities:

    • Reflect on Performance over the review period.

    • Discuss Professional Responsibilities and Incremental Progression.

    • Explore Career Development and Transfer Entitlement opportunities.

  • Reviewer responsibilities:

    • Provide Reviewer Feedback on performance and career progression.

  • Mentor responsibilities (when available):

    • Provide Mentor Feedback to guide career development.

5. Summative report

This section summarises the achievements, future priorities, and capacity-building activities undertaken during the review cycle.

  • Reviewee responsibilities:

    • Reflect on Goals Identified in the Professional Pathways Plan.

    • Outline Future Priorities and Career Planning.

    • Highlight Achievements in Addressing the Goals.

    • Detail Additional Capacity-Building Activities undertaken.

  • Reviewer responsibilities:

    • Provide Reviewer Feedback on the summative report.

  • Mentor responsibilities (when enabled):

    • Provide Mentor Feedback on the reviewee’s achievements and future plans.

6. Pathway files

This section allows for the addition and sharing of supporting documents related to the review cycle.

  • Reviewee responsibilities:

    • Add Support Files to provide evidence or documentation.

  • Reviewer responsibilities:

    • Download Support Files for review.

  • Mentor responsibilities (when enabled):

    • Download Support Files to provide informed feedback.

Summary of user roles and permissions in a Pathway review
  1. Reviewee:

    • Actively participates in setting goals, providing evidence, and reflecting on progress.

    • Engages with feedback from reviewers and mentors to improve performance.

  2. Reviewer:

    • Provides structured feedback at each stage of the review cycle.

    • Approves key milestones (e.g., increment approval, plan start/end dates).

  3. Mentor (when enabled):

    • Offers additional guidance and feedback to support the reviewee’s development.

    • Assists in addressing challenges and planning for future growth.

Filter and search for a staff pathway review using the toolbar
  1. Use the filter options in the top toolbar to set your desired criteria.

    • Select review period: Select from the menu options.

    • Select staff member: Select from the menu options.

  2. Click Search to apply the filters and display the results.

Visual cues
  • Grey background: Indicates a disabled field where you cannot enter information.

  • Blue text: Indicates read-only text that you cannot change.

  • Number in brackets (#): In a section title, this shows the number of items added (e.g., files, comments).

  • Icons in section title: Represents the current stage of the review cycle.

Send an email to your pathway reviewee(s)
  1. Click the Email button.

  2. Select the recipient from the dropdown menu:

    • Current reviewee: Send the email to the individual reviewee.

    • All reviewees: Send the email to all reviewees associated with the selected pathway review.

  3. Enter the email details, including the subject and message.

  4. Click Send Email to deliver the message.

Download a staff pathway review as PDF
  1. Click Download.

  2. Locate the downloaded file (usually in your "Downloads" folder).

  3. Open the PDF in your default PDF viewer (e.g., Adobe Acrobat, Preview, or a web browser).

  4. Print if needed.

Start-Cycle (Stage one)

Pathway Overview section

Start plan for a staff Pathway review

Mark the official start of the review cycle.

  1. Wait for Confirmation:

    • Wait for the reviewee to confirm that all details and plan information have been finalised.

  2. Review Pathway Plan:

    • Click on the Pathway Plan section to activate it.

    • Review the information entered in each field to ensure completeness and accuracy.

  3. Access Pathway Overview:

    • Click on the Pathway Overview section to activate it.

  4. Enter Date Plan Started:

    • Once notified by the reviewee, enter the Date Plan Started to officially initiate the review process.

  5. Add Initial Reviewer Comments (Optional):

    • Enter any relevant feedback or comments in the Initial Reviewer Comments field.

  6. Save and Confirm:

    • Click Save to store the changes.

    • Confirm the save action to ensure the data is updated.

Enter the placement end date for a staff Pathway review

Officially close the review cycle.

  1. When the reviewee notifies you that the review is complete, enter the Placement End Date.

  2. Determine and confirm the final completion status of the review.

Approve an increment for a staff Pathway review

Indicate whether the increment has been approved.

  1. Review the reviewee’s progress and achievements.

  2. Select the appropriate status in the Increment Approved? field to confirm approval or denial.

Enter initial reviewer comments for a staff Pathway review

Provide feedback on the reviewee’s goals and approach.

  1. During Stage One, review the goals and strategies outlined by the reviewee.

  2. Enter your comments and feedback in the Initial Reviewer Comments field to guide the reviewee’s progress.

Pathway Files section

  • The reviewee can begin adding supporting files starting from Stage One of the review cycle.

  • Added files are accessible in the Pathway Files tab.

  • The number displayed in the tab title (e.g., "(3)") indicates how many files have been added by the reviewee.

Download a supporting file from a staff Pathway review
  1. Access Pathway files section:

    • Click on the Pathway Files section to activate it.

  2. Download the file:

    • Click on the File Name link to download the file.

  3. Locate and use the file:

    • The downloaded file will typically be saved in your "Downloads" folder.

    • Open the file to view its contents.

    • Print the file if needed.

Complete Start-Cycle (Stage one)

Once you've set the Plan Started Date:

  • All sections will update to reflect that the review has progressed to Stage Two.

  • The Complete Review button will appear in the toolbar, allowing further actions to be taken.

Mid-Cycle Review section

An optional review stage to set mid-cycle goals and document progress.

  1. Access Mid-Cycle review section:

    • Click on the Mid-Cycle Review section to activate it.

    • Review the information entered in each field.

  2. Enter reviewer feedback:

    • Click the Reviewer Feedback button.

    • Enter your comments and feedback in the Reviewer Comments field.

  3. Save and confirm:

    • Click Save to store your feedback.

    • Confirm the save action to ensure the data is updated.

  4. Confirmation:

    • Once feedback is added, the icon on the Reviewer Feedback button will change to a filled state, indicating that comments have been successfully added.

Annual Professional Discussion section

Used to document and review professional development progress.

  1. Access Annual Professional Discussion section:

    • Click on the Annual Professional Discussion section to activate it.

    • Review the information entered in each field.

  2. Enter reviewer feedback:

    • Click the Reviewer Feedback button.

    • The Professional Discussion Feedback window will appear.

  3. Provide feedback:

    • Enter your comments and feedback in the Reviewer Comments field.

  4. Save and confirm:

    • Click Save to store your feedback.

    • A confirmation window will appear. Click OK to close the window.

  5. Confirmation:

    • Once feedback is added, the icon on the Reviewer Feedback button will change to indicate that comments have been successfully added.

Summative Report section

Used to reflect on and conclude the review process.

  1. Access Summative Report section:

    • Click on the Summative Report section to activate it.

    • Review the information entered in each field.

  2. Enter reviewer feedback:

    • Click the Reviewer Feedback button.

    • The Summative Review Feedback window will appear.

  3. Provide feedback:

    • Enter your comments and feedback in the Reviewer Comments field.

  4. Save and confirm:

    • Click Save to store your feedback.

    • A confirmation window will appear. Click OK to close the window.

  5. Confirmation:

    • Once feedback is added, the icon on the Reviewer Feedback button will change to indicate that comments have been successfully added.

Pathway review completion

Finalise the Pathway Review process by marking it as complete.

Finalise a staff Pathway review
  1. Reflect on the review:

    • Review the information and evidence added throughout the review cycle to ensure completeness and accuracy.

  2. Access Pathway Overview:

    • Click on the Pathway Overview tab to activate it.

  3. Enter Placement End Date:

    • Enter the Placement End Date to indicate the conclusion of the review cycle.

  4. Select Increment Approval Status:

    • Choose the appropriate status in the Increment Approved? field.

  5. Save and confirm:

    • Click Save to store the changes.

    • Confirm the action to finalise the review process.

Mark a staff Pathway review as complete

This action will permanently finalise the Pathway Review process. Please note:

  • No further changes can be made by the Staff, Reviewer, or Mentor (if applicable).

  • This action is irreversible and cannot be undone.

  1. Click the Complete Review button.

  2. Confirm the action to finalise the process.

  • All sections will display an icon to indicate they have been completed.

  • All fields will be locked, and the text will turn blue, indicating that they can no longer be edited.
